4. Purpose of Processing Personal Data

Customer data is processed for marketing purposes, service development, customer surveys, communications, invoicing, debt collection, reporting, and other activities related to customer relationship management. Purchase and transaction data, as well as location data, may also be used to create customer profiles and to target marketing activities and customer communications. Personal data may also be processed in connection with participation in events and other marketing activities. The data in this register is used to manage customer relationships in accordance with Section 8 of the Personal Data Act. The register is also used for informing customers should any changes occur at Exocon Oy that may affect customers or the work they have commissioned.

The following information is stored in the register: Name, Company name, Billing address, Visiting/postal address, Email address, Business ID.

The register processes various types of information necessary for the purpose of the register. These include, among others: Basic information about the company or organisation that is a customer of the data controller, such as name, address, email address, telephone number, and the name and contact details of the contact person. Information relating to the customer relationship between the data controller and the data subjects, such as order information, meeting information, any direct marketing permissions and prohibitions, as well as other correspondence and service-related information. Information on data subjects’ behaviour on the data controller’s website and other similar grouping data, event participation, information entered in connection with events, and correspondence. First and last names of data subjects registered for the data controller’s events, any contact details, and event-related information. Data subjects may enter their own registration information, such as email address, telephone number, and address.

6. Regular Sources of Information

The information stored in the register is regularly collected directly from the customer for the purpose of managing the customer relationship and invoicing for commissioned work.

7. Regular Disclosures

Information from Exocon Oy’s customer register is not disclosed to third parties unless accounting assistance is required for the collection of overdue receivables. In such cases, the necessary contact and billing information may be disclosed to an accounting firm assisting with the collection of overdue receivables.

Information is not transferred outside the EU or EEA.

9. Principles of Register Protection

Only the data controller and specifically designated persons have access to the register information. Only these designated persons have the right to process and maintain the register data. Users are bound by a duty of confidentiality. The IT networks and equipment located at the register’s premises are protected by a firewall and other technical measures. IT equipment is kept in a locked and monitored location. The customer, sales, and marketing register is not specifically classified as confidential material, but access to it is only possible with a password known solely to the company’s representative.

10. Right of Access

As a general rule, everyone has the right to check the information held about them. Requests for access must be made in writing, by a personally signed letter, or in person at the data controller’s premises. The request should be addressed to the register administrator. The right of access is provided free of charge once per year (12 months) at most.

11. Right to Demand Rectification of Data

Everyone has the right to demand the rectification of incorrect information held in the register. Requests for rectification should be made in writing and sufficiently specified: the request must state the name of the individual as well as the incorrect and corrected information. The request should be addressed to the register administrator.
